Service delivery terms and conditions.
1. Overview
This Fulfillment Policy outlines the terms and conditions under which Left Coast Partners (“we,” “our,” “us”) provides services to clients (“you,” “your”). By purchasing, engaging, or using our services, you agree to comply with and be bound by this policy.
2. Services Provided
Left Coast Partners provides done-for-you AI implementation and related business technology services. Services may include, but are not limited to:
- AI Employee Installation: Setup and configuration of AI-powered workflows designed to support law firm operations, intake, follow-up, document tracking, internal updates, and administrative processes.
- Workflow Audit and Strategy: Review of your current intake, follow-up, communication, document, and administrative processes to identify where AI can be safely and effectively implemented.
- AI-Ready Website Support: Website updates, landing pages, intake forms, and conversion improvements when included in your service agreement.
- Review Follow-Up Systems: Setup or improvement of systems that help your firm request, organize, and manage client review follow-up when included in your service agreement.
- Automation and Tool Integration: Configuration of third-party tools, automations, dashboards, and workflows that support the agreed implementation.
- Maintenance and Support: Ongoing technical support, updates, troubleshooting, and optimization when included in your service agreement.
3. Service Delivery
- Project Initiation: Services begin after the required payment has been received, the service agreement has been accepted, and the necessary onboarding materials have been provided.
- Onboarding: You may be asked to complete questionnaires, provide access to approved tools, submit workflow details, and participate in kickoff or strategy calls.
- Milestones and Timelines: Project timelines depend on the scope of work, client responsiveness, third-party tool access, and the complexity of the implementation. We will provide reasonable updates throughout the project.
- Revisions: Revisions are limited to the scope outlined in your service agreement. Additional revisions, changes in scope, or new requests may require additional fees.
- Delivery Format: Deliverables may include configured workflows, AI employee setup, documentation, dashboards, forms, website updates, automation workflows, training materials, or support sessions depending on the purchased service.
4. Scheduling and Appointments
- Consultations: Initial consultations, onboarding calls, project briefings, and review sessions are typically conducted virtually through video conferencing platforms.
- Project Meetings: Meetings must be scheduled in advance through our booking system or by mutual agreement.
- Rescheduling: Meetings may be rescheduled with at least 24 hours’ notice whenever possible.
- Missed Meetings: Missed meetings, late cancellations, or repeated delays may affect the project timeline and may require additional scheduling fees.
5. Payment and Fees
- Service Fees: Fees are outlined in your service agreement, invoice, checkout page, or written proposal.
- Payment Schedule: Payments may be due upfront, monthly, milestone-based, or according to the schedule listed in your agreement.
- Payment Methods: We may accept payments by credit card, ACH, bank transfer, or other approved payment methods.
- Late Payments: Failure to make required payments may result in paused work, delayed delivery, restricted access, or termination of services.
- Third-Party Costs: You are responsible for any third-party software, subscriptions, hosting, AI platforms, automation tools, plugins, or other external services required for your implementation unless otherwise stated in writing.
6. Refund Policy
- No Refunds After Work Begins: Because our services require strategy, planning, setup, customization, and implementation work, refunds are not provided once work has commenced.
- Deposits and Setup Fees: Deposits, setup fees, and onboarding fees are non-refundable unless otherwise stated in writing.
- Client Delays: Refunds are not provided due to delays caused by missing materials, lack of access, delayed feedback, missed meetings, or lack of client participation.
- Resolution: If you are dissatisfied with the service, please contact us so we can review your concerns and determine a reasonable next step within the scope of your agreement.
7. Client Responsibilities
- Information and Access: You agree to provide accurate information, access to approved tools, brand assets, workflow details, and other materials needed to complete the project.
- Confidentiality and Permissions: You are responsible for determining what client data, case information, documents, or internal materials may be shared with us or used inside approved AI and automation systems.
- Legal and Ethical Review: You are responsible for ensuring that any AI-supported workflow, communication, document, or output is reviewed and approved by qualified personnel before use.
- Feedback and Approvals: Timely feedback and approvals are required to keep the project moving. Delays in feedback may result in timeline adjustments.
- Internal Use: You are responsible for training your internal team, enforcing proper use, and maintaining oversight of any AI employee, automation, or workflow implemented.
8. AI Implementation Disclaimer
Our AI employee implementations are designed to support business operations and administrative workflows. They are not intended to replace attorneys, legal professionals, legal judgment, legal research obligations, or professional review.
- AI-generated outputs should be reviewed by your team before being used, sent, filed, relied upon, or shared.
- We do not provide legal advice, tax advice, compliance advice, or professional legal services.
- We do not guarantee that AI-generated content will be error-free, complete, or appropriate for every situation.
- You are responsible for compliance with all applicable laws, rules, ethical obligations, privacy requirements, and professional standards related to your firm.
9. Third-Party Platforms and Tools
Some services may require the use of third-party platforms, including but not limited to AI tools, automation software, website platforms, CRM systems, hosting providers, scheduling tools, analytics platforms, email tools, or communication systems.
- We are not responsible for outages, pricing changes, policy changes, data loss, limitations, or errors caused by third-party platforms.
- You are responsible for maintaining active accounts, billing, permissions, and access for any third-party tools required for the project.
- Any third-party platform is subject to its own terms, privacy policy, and security practices.
10. Termination of Services
- Mutual Agreement: Either party may terminate the service agreement with written notice if the other party materially breaches the agreement and does not resolve the issue within a reasonable time.
- Client Termination: If you choose to terminate services before completion, no refunds will be provided for work already completed, work in progress, strategy, setup, or unused portions of the service.
- Provider Termination: We reserve the right to pause or terminate services if you fail to make payments, provide required materials, communicate in a timely manner, provide necessary access, or engage in conduct that prevents successful completion of the project.
11. Limitation of Liability
To the maximum extent permitted by law, our liability for any claim arising out of our services is limited to the amount you paid for the specific service giving rise to the claim. We are not liable for indirect, incidental, special, consequential, lost profit, lost revenue, data loss, or business interruption damages.
12. No Guarantee of Results
We do not guarantee specific business outcomes, revenue increases, lead volume, client conversions, cost savings, rankings, reviews, or operational results. Results depend on your business, team, market, tools, implementation, usage, follow-up, and other factors outside of our control.
13. Amendments
We may update this Fulfillment Policy from time to time. Updates may be posted on our website or communicated by email. Continued use of our services after updates are posted means you accept the revised policy.
